Find Me A Venue - The Process

Finding a venue for your event can determine whether it will be a success or not. A good venue can bring long lasting and wonderful memories for all the people to attend.


When you go to a party planner or event planner and say, "find me a venue ", he/she would go through a series of steps to make your event a success. In this post I'm going to outline most of the steps that are taken in finding a venue and how you can do it on your own.

1) Weddings
These are happy emotional events.

Finding venues - Numbers?

One thing you don't want to have is a large room with a small amount of people or a small room with a large amount of people. Unless the budget is unlimited and the one paying for it wants to waste money, you have to find the most adequate and cost effective size for the number of people attending.
You also have to determine whether there are enough parking spaces for all the guests so that parking wouldn't be a problem and everyone would be happy.

Special Equipment when finding a Venue

Does the event need any special equipment e.g. Freezers, Cold Rooms and Ovens? Does the venue provide this special equipment? Determining whether the venue has the required equipment could mean higher fees to pay and more bills.

Services Provided

So, besides equipment, you have to know what the venue gives away for free and what they charge for. You don't want to be loaded with unforeseen costs and end up stranded with nothing to do.
The best way to go about this is to asses every single cost that comes into organizing the event and putting it in the initial budget. That way, you won't get side tracked in the end.

Furniture - Find Me a Venue

You also have to gauge whether there are any costs for hiring the furniture. Is it free? Do you have to pay for it? Ask the venue owner all these questions and create a budget that accommodates for everything. Chairs, tables, podiums, everything you need.

Is it happening inside or outside?

Will the event happen inside, outside or both? How big should the yard be? How much space do you need? All this is necessary if you want to plan the perfect event. The perfect event would mean everyone comes early, has enough food to eat and generally enjoys themselves from beginning to end.

Here I have described everything necessary to plan a good event and find the perfect venue. It all takes patience and a lot of good preparation.
